How to Optimize Your Google Business Profile Step by Step

A step-by-step guide to optimizing your Google Business Profile: categories, services, photos, reviews, posts and tracking.

When someone searches for a service near them, the first thing they usually see isn’t a website. It’s the map pack: three local businesses with ratings, photos, hours, and a call button. Those listings come from Google Business Profile, and for many local businesses they generate more calls than the website itself. If your profile is incomplete or neglected, you’re handing those calls to competitors.

Here’s how to optimize your Google Business Profile step by step.

Step 1: Claim and verify your profile

Search for your business name on Google. If a profile appears, look for the option to claim or manage it. If nothing appears, create a new profile at business.google.com. Google will ask you to verify that you’re the owner, using a method such as a video recording, phone, email, or postcard depending on your business. You can’t fully manage the profile until it’s verified, so do this first.

Step 2: Get your name, address, and phone number exactly right

Use your real business name as it appears on your signage and paperwork. Adding keywords or locations to your business name (for example, Best Plumber Springfield – ABC Plumbing) violates Google’s guidelines and can get your profile suspended.

Use the same address and phone number that appear on your website and other directories. Consistency across the web helps Google trust your information.

If you visit customers rather than having them come to you, set a service area and hide your street address. List the cities or regions you genuinely serve.

Step 3: Choose the right categories

Your primary category is one of the strongest factors in which searches you appear for. Choose the most specific category that describes your core business, such as Pool cleaning service rather than just Contractor. Then add secondary categories for other main services you offer. Look at what top-ranking competitors use for ideas, but only choose categories that genuinely apply.

Step 4: Complete every section

Google rewards complete profiles, and customers trust them more. Fill in:

  • Business hours, plus special hours for holidays
  • Website link (to your homepage or the relevant location page)
  • Appointment or booking link if you have one
  • Business description: up to 750 characters explaining what you do, who you serve, and what makes you different
  • Opening date
  • Attributes such as wheelchair accessibility, payment methods, or identity attributes that apply

Step 5: Add your services and products

Use the Services section to list each service you offer, with a short description. If you sell products, add them with photos and prices where possible. This gives Google more context about what you do and gives customers more reasons to choose you.

Step 6: Upload real photos regularly

Profiles with good photos tend to get more engagement. Upload:

  • Your logo and a cover photo
  • Exterior photos so people can find you
  • Interior photos if customers visit
  • Your team at work
  • Finished projects and products

Use real, recent photos rather than stock images, and add new ones every month or so.

Step 7: Collect and respond to reviews

Reviews influence both rankings and whether people choose you. Ask every happy customer for a review, and make it easy by sending a direct link (you can find it in your profile under the option to ask for reviews). Respond to every review, positive and negative, politely and promptly. Never offer incentives for reviews or post fake ones; it’s against Google’s policies and can result in penalties.

Step 8: Publish posts

Google Business Profile posts let you share updates, offers, events, and news directly on your listing. They show customers your business is active. Aim for at least a few posts a month, each with a photo and a clear call to action.

Step 9: Answer questions and enable messaging

Monitor the questions and messages people send through your profile and answer quickly. Where messaging and Q&A features are available for your profile, they’re a direct line to people who are ready to buy, and quick responses can win jobs.

Step 10: Track your results

Your profile’s performance report shows how many people found you, how they searched, and how many called, requested directions, or visited your website. Add UTM tracking to your website link so you can see profile traffic separately in Google Analytics. Review these numbers monthly.

Mistakes to avoid

  • Stuffing keywords into your business name
  • Using a virtual office or PO box as your address
  • Creating duplicate profiles for the same location
  • Ignoring negative reviews
  • Leaving hours outdated around holidays

Frequently asked questions
